1. Definitions

In these Terms and Conditions:

•  "Sweet Dreams Events", "we", "us" and "our" refers to Sweet Dreams Events, operated by Leigh Shepherd, info@sweetdreamsevents.co.uk

•  "Customer", "you" and "your" refers to the person named on the Booking Order Form

•  "Booking" means the confirmed reservation of our services for a specific date as detailed in the Booking Order Form

•  "Equipment" means all teepees, mattresses, bedding, props, fairy lights, decorations and accessories provided by Sweet Dreams Events

•  "Party date" means the date on which the sleepover party takes place as specified in the Booking Order Form

2. Booking and Confirmation

2.1.  A booking is confirmed only upon receipt of the non-refundable deposit payment. Until the deposit has been received, no date is held or guaranteed.

2.2.  The deposit amount is 25% of the total booking value as set out in Section C of the Booking Order Form.

2.3.  The deposit is strictly non-refundable under all circumstances, including cancellation by the customer for any reason.

2.4.  On receipt of the deposit, Sweet Dreams Events will send a written booking confirmation to the customer's email address.

2.5.  The customer warrants that all information provided on the Booking Order Form is accurate and complete. Sweet Dreams Events cannot be held responsible for any issues arising from inaccurate information provided by the customer.

3. Payment Terms

3.1.  The deposit of 25% of the total booking value is due at the time of booking to secure the date.

3.2.  The full invoice balance is due 14 days before the party date. Sweet Dreams Events will issue a balance invoice by email at least 14 days before the party date.

3.3.  If the balance is not received by the due date, Sweet Dreams Events reserves the right to cancel the booking. In such circumstances, the deposit will not be refunded.

3.4.  All payments must be made by bank transfer to the bank account details provided on the invoice. We do not accept cash or card payments.

3.5.  All prices include delivery, setup, styling and morning collection within our standard delivery area.

3.6.  A travel surcharge may apply for bookings outside our standard delivery area. Any applicable surcharge will be agreed in writing before the booking is confirmed.

4. Cancellation Policy

4.1.  All cancellations must be made in writing by email to info@sweetdreamsevents.co.uk.

4.2.  The deposit is non-refundable under all circumstances.

4.3.  Cancellations made more than 14 days before the party date: the customer will forfeit the deposit only. The balance will not be charged if it has not yet been paid, or will be refunded in full if it has.

4.4.  Cancellations made 14 days or fewer before the party date: the full invoice value is payable. Where the balance has already been paid, 50% of the total booking value will be refunded. The remaining 50% is non-refundable to cover costs already incurred.

4.5.  Sweet Dreams Events will endeavour to offer an alternative date in the event of a cancellation, at our discretion. Rebooking is subject to availability, and a new Booking Order Form will be required.

4.6.  If Sweet Dreams Events is required to cancel a booking due to unforeseen circumstances beyond our control (including but not limited to serious illness, bereavement or extreme weather), we will provide as much notice as possible and offer a full refund of all payments made or an alternative date at the customer's discretion.

5. Setup, Delivery and Collection

5.1.  Sweet Dreams Events will arrive at the agreed setup time to deliver and style the equipment. Setup typically takes 90–120 minutes, depending on the number of teepees and the complexity of the theme.

5.2.  The customer must ensure that the agreed floor space is completely clear of furniture, toys and other items before our arrival. Sweet Dreams Events cannot be held responsible for delays caused by insufficient preparation.

5.3.  Each teepee requires a minimum clear floor space of 1.8 metres by 1 metre. If insufficient space is available on arrival, we reserve the right to reduce the number of teepees without refund.

5.4.  Collection will take place the morning after the party at the agreed time. The customer must ensure access to the property at the agreed collection time. If the collection is delayed due to the customer's unavailability, an additional charge of £25 per hour may apply.

5.5.  All equipment must remain in the location in which it was set up. The customer must not move, dismantle or alter the equipment in any way.

5.6.  Sweet Dreams Events operates within Sussex, Surrey and parts of Hampshire. Bookings outside this area may be accepted at our discretion, and a travel surcharge will apply.

6. Equipment, Care and Damage

6.1.  All equipment provided by Sweet Dreams Events remains the property of Sweet Dreams Events at all times.

6.2.  The customer is responsible for the safekeeping and care of all equipment from the time of delivery until the time of collection.

6.3.  The customer must ensure that the equipment is used safely and responsibly and that appropriate care is taken of the equipment throughout the booking period.

6.4.  Normal wear and tear is accepted. However, the customer will be liable for the full replacement cost of any equipment that is damaged, broken, stained beyond reasonable cleaning, lost or stolen during their booking period.

6.5.  Damage charges will be assessed following collection and invoiced to the customer within 7 days. Payment is due within 14 days of the damage invoice date.

6.6.  All bedding and fabric items are professionally laundered between every hire. Any items requiring specialist cleaning beyond our standard laundering process will be charged to the customer at cost.

6.7.  Candles, open flames, sparklers and smoking are strictly prohibited in close proximity to our equipment. Any damage caused by fire or smoke will be charged to the customer at full replacement cost.

6.8.  Sweet Dreams Events reserves the right to photograph equipment damage at collection for insurance and damage claims.

7. Health and Safety

7.1.  Sweet Dreams Events holds full public liability insurance. Details are available on request.

7.2.  All equipment supplied by Sweet Dreams Events is UKCA/CE compliant and has been independently tested for safety in accordance with UK Toy Safety Regulations 2011 (BS EN71).

7.3.  Sweet Dreams Events is not responsible for the supervision of children at any point during the booking. The customer is responsible for ensuring children use the equipment safely and appropriately.

7.4.  The customer must inform Sweet Dreams Events of any known allergies, medical conditions or additional needs relevant to the party setup at the time of booking so that appropriate adjustments can be made.

7.5.  Sweet Dreams Events cannot be held liable for any personal injury, illness or accident that occurs during the booking period, except where directly caused by a proven defect in our equipment.

7.6.  The customer must ensure that the property is safe and suitable for the setup of our equipment, including adequate ventilation and no hazardous obstructions.

8. Photography and Marketing

8.1.  Where the customer has given consent in Section F of the Booking Order Form, Sweet Dreams Events may photograph the completed setup for use on our website, social media channels and other marketing materials.

8.2.  We will never publish photographs containing identifiable images of children without explicit additional written consent from the parent or guardian.

8.3.  We will never publish children's full names, school names, home addresses or any other identifying information.

8.4.  The customer may withdraw their photography consent at any time by notifying us in writing at info@sweetdreamsevents.co.uk. Any images already published at the time of withdrawal will be removed within 48 hours of receipt of the request.

8.5.  If the customer shares photographs of our setup on social media and tags us at @sweetdreamseventsltd, this is taken as permission for Sweet Dreams Events to reshare those images on our own channels. We will always credit the original post where possible.

9. Alterations and Changes to Bookings

9.1.  Requests to change the party date must be made in writing at least 14 days before the original party date and are subject to availability. We will always do our best to accommodate date changes where possible.

9.2.  Changes to the theme, number of teepees or add-ons can be made up to 14 days before the party date, subject to availability. Changes that increase the booking value will require payment of the additional amount within 48 hours of the change being confirmed.

9.3.  Changes requested within 7 days of the party date will be accommodated where possible, but cannot be guaranteed. Sweet Dreams Events will not be liable for any inability to accommodate last-minute changes.

10. Complaints and Disputes

10.1.  Sweet Dreams Events is committed to providing the highest quality service. If you are unhappy with any aspect of your booking, please contact us in writing at info@sweetdreamsevents.co.uk within 48 hours of collection.

10.2.  We will acknowledge all complaints within 2 business days and aim to resolve all complaints within 14 days.

10.3.  These Terms and Conditions are governed by the laws of England and Wales. Any disputes that cannot be resolved amicably will be subject to the exclusive jurisdiction of the courts of England and Wales.

11. Data Protection

11.1.  Sweet Dreams Events is committed to protecting your personal data in accordance with UK GDPR and the Data Protection Act 2018.

11.2.  The personal data provided on this Booking Order Form will be used solely for the purposes of managing your booking, communicating with you about your party and, where consent is given, for marketing communications.

11.3.  Your data will not be sold, rented or shared with third parties except as set out in our Privacy Policy, available at sweetdreamsevents.co.uk/privacy-policy.

11.4.  You have the right to access, correct or request deletion of your personal data at any time by contacting us at info@sweetdreamsevents.co.uk.

12. General

12.1.  These Terms and Conditions constitute the entire agreement between Sweet Dreams Events and the customer and supersede all previous communications, representations and understandings.

12.2.  If any provision of these Terms and Conditions is found to be unlawful, void or unenforceable, that provision shall be deemed severable and shall not affect the validity of the remaining provisions.

12.3.  Sweet Dreams Events reserves the right to update these Terms and Conditions at any time. The version in force at the time of booking will apply to that booking.
