How to Plan a Sleepover Birthday Party in Six Weeks

Glitterball Disco teepee sleepover birthday party with disco ball lights and pink trays, Surrey

Around this time every year I have the same conversation with at least one mum at the school gate. Her child's birthday is creeping closer while the calendar quietly fills with nativity rehearsals, Christmas jumper days and festive fairs. Somewhere between all of that, the birthday has slipped down the list. If that sounds familiar, take a breath, because six weeks is plenty of time to plan a sleepover birthday party that feels calm, special and completely them.

This is the countdown I would give a friend over a cup of tea. It works for a late November or December birthday, though it works just as well for a January one you would love to have sorted before the Christmas chaos begins.

Six weeks out: choose the date and the theme

Start with the date, because everything else hangs off it. Weekends in late November and December are some of the busiest of the year, with Christmas parties and family visits all competing for the same Saturdays, so this is the one job worth doing straight away.

Then sit down with your child and talk about the theme. Let them lead on this one. A child who has chosen their own theme will talk about it for weeks, which builds the excitement beautifully. Glitterball Disco Dreams and Mermaid Lagoon are firm favourites with our party girls, while gamers tend to head straight for Minecraft or Level Up Lair. December birthdays have Elf Academy, our festive theme, which is all twinkle and cosy Christmas charm. You can see every setup on our teepee sleepover party themes page. Once you have both, a 25% deposit secures your date with us, so the biggest job on the list is ticked off in one go.

How far in advance should you send sleepover invitations?

Five weeks out is the sweet spot for this one. In the run up to Christmas diaries fill quickly, so giving families a little longer than usual makes a real difference. For a sleepover I always suggest adding a short note for the grown ups with drop off and pick up times, what to pack plus a mobile number to reach you on. Parents of first time sleepover guests will be so grateful for it.

Ask for replies by a set date too. It feels a little formal, I know, but it saves you chasing in week two when you have a hundred other things to think about.

How many children should you invite to a sleepover?

Usually fewer than you think. A daytime party can take the whole class, but a sleepover is a different thing altogether. Children are tired, excited and sharing a space for a long stretch of time, so a small group of close friends tends to be happier than a big crowd. I still teach, with over twelve years in primary classrooms specialising in SEN, so I would always rather see four children who really get on than eight who only half know each other.

This is also the week to measure your room. Each teepee is roughly 120cm wide, 120cm deep and 130cm high, with a 185cm mattress inside. We style anything from two to ten teepees, one per child, at £45 per teepee for a sleepover. If an overnight feels like too much this year, our Daytime Teepee Hire brings the same styling for an afternoon at £35 per teepee. Everything is laid out on our prices page.

Two weeks out: food, films and the finer details

This is when the balance for a Sweet Dreams booking is due, which makes it the perfect moment to pin down everything else. Check dietary needs and allergies with every family now rather than on the night. Then plan simple food. Pizza, a big pot of pasta or a build your own wrap table will keep a hungry group happy without you stuck at the hob all evening.

If you would like a few extra touches, it is worth deciding on them early because personalised pieces take a little time to make. Sweet Dreams Personalised, £20 per child, adds a named water bottle, an eye mask and a name card at every bed. VIP, £30 per child, includes all of that plus an acrylic sign, a gift bag and a midnight snack box. The Ultimate, £50 per child, brings everything in VIP plus our teepee cinema movie night with a projector and big screen, which neatly answers the question of what to do after tea. You can see them all on our add ons page.

The week of the party: clear the space and set the tone

Clear the room where the teepees will go. You do not need to move mountains, just enough floor for them to sit in a row with a little space to walk around. Then talk your child through the plan for the evening. Children, especially those who find change tricky, feel so much calmer when they know what is coming. I use the same trick in my classroom, where a simple picture timetable of the evening, from pizza to film to lights out, can work wonders for a nervous or sensory sensitive guest.

The big night and the morning after

This is the part where you get to enjoy it. We deliver, set up and style every teepee with bedding, cushions and fairy lights, so the moment the children walk in is the moment you have been planning for. Agree a lights out time in advance and hold it gently, with a little wiggle room for giggles. In the morning there is a breakfast tray waiting for each child, then we come back to collect everything while you put the kettle on. There is no packing away and no mountain of bin bags, just a happy, slightly sleepy birthday child and a house that looks like yours again.

If you would love us to take the setup off your list, we bring our luxury sleepover party hire to homes across Surrey, Sussex and Hampshire, plus parts of Berkshire, for children aged 5 to 14. We are rated five stars on Google and recommended in the Muddy Stilettos Little Black Book. Late November and December weekends are always the first to go, so do get in touch early if you have a date in mind.
